How to Record a Zoom or Teams Meeting When You're Not the Host (Windows)

As a participant who is not the host, you cannot record a Zoom or Teams meeting with the built-in Record button unless the host or your admin allows it: Zoom computer recording needs the host's permission, and in Teams only the organizer and people from the same organization can record, never guests (Zoom and Microsoft docs, checked 2026-10-03). On Windows, a recorder that captures your computer's audio works with any meeting app. Ask the host first and tell the others you are recording.

Why the Record button is missing when you're not the host
The Record button belongs to the host's account, not to yours. Both Zoom and Teams decide who may record from the organizer's plan and the admin's policy, so a participant's own plan does not change what they see in someone else's meeting.

In Zoom, the participant's route is computer recording. Zoom's own page for admins asks "Who can request host permission to record?" and lets the account auto-approve those requests, so whether you get the button depends on the host's settings (Zoom Support). The cloud option stays with the host: "Only hosts and co-hosts can start a cloud recording. If you want a participant to start a recording, you can make them a co-host or use computer recording" (Zoom Support).
In Teams, there is no request button for a guest. Figure 1 shows Microsoft's list: of 5 kinds of attendee, 3 can never start the recording, whatever their own license is (Microsoft Support). With Teams Premium the organizer can narrow it further, down to organizers and co-organizers only, or no one.

If the host does record, the simplest result for you is their file. A Zoom computer recording is saved on the host's computer, and the Zoom recording to text tool turns that file into a transcript; where Teams keeps its transcript is covered in the Teams meeting transcript guide. Record the Zoom or Teams desktop app on Windows
On Windows, recording the computer's audio does not use the meeting's Record button, because nothing is added to the meeting. A Windows recorder captures what your speakers play (the other people) and your microphone (you), whichever meeting app produces the sound.

- Install the Windows app and sign in.
- Join the call in the Zoom or Teams desktop app as usual.
- Start recording in the Windows app. It records system audio and your microphone together.
- Stop when the call ends. The recording is uploaded, transcribed and turned into a summary with action items.

The second route works on any computer with Chrome. Open the meeting link in the browser instead of the desktop app, then record the tab with the Chrome extension.
- Zoom: join from the browser. The Zoom web client runs on
zoom.us/wc/…addresses, and the extension detects a call there by itself. - Teams: open the meeting in
teams.microsoft.com(work or school) orteams.live.com(personal). The extension detects the call on both. - Any other tab: start the recording from the extension's popup; there is no automatic detection outside Google Meet, Teams and the Zoom web client.

Other tools that record from your own computer
A recorder on your own device does not use the meeting's Record button. In our census of 2026-09-25, 9 of 12 bot-free note takers name Windows for this mode (our census of AI note takers). The table below lists the 12 and the systems each vendor names.

What this does not do
On a Mac, we don't record the Zoom or Teams desktop client: open the call in the browser instead. The Windows app has no Mac or Linux version; on those systems only the Chrome extension records.
A recording from your own computer does not create the host's Zoom cloud recording or the Teams meeting recap. Nobody else in the meeting gets a copy from it; if colleagues need the notes, share the summary yourself.
Your company's policy still applies. Teams bot controls act on bots that try to join a meeting, and a recorder on your device never joins, which is a different question from whether recording is allowed at all (what Teams changed for notetaker bots in 2026).
Ask the host and tell the others
Recording without the host's agreement may break the meeting's rules or your company's rules, even when the software lets you. The rules on recording apply to the act of recording, not to the tool, and they differ by country and state; check the law where you and the other people are. Ask the host before the call, and say at the start that you are recording. Want everyone on the call to know? FAQ
Can a participant record a Zoom meeting without the host?
Not with Zoom's own Record button: computer recording needs the host's permission, and cloud recording is limited to the host and co-hosts (Zoom Support). A recorder that captures your computer's audio works without that button, but you should still ask the host.
Why can't I record a Teams meeting as a guest?
Microsoft's list says people from another organization, guests and anonymous attendees cannot start or stop a recording, even when the organizer has recording turned on (Microsoft Support). Ask the organizer to record, or record the audio on your own computer with their agreement.
Does Zoom computer recording work on a free account?
Yes. Zoom lists computer recording for Basic (free) accounts and above, in the desktop app for Windows, macOS or Linux, but not on iOS, iPad or Android (Zoom Support). In someone else's meeting you still need their permission.
Can I record the Zoom desktop app on a Mac?
Not with the Windows app: it has no Mac version. Open the Zoom call in Chrome through the web client and record the tab with the extension, which detects calls on zoom.us/wc pages.
Will the host know I'm recording?
A recorder on your own computer does not join the meeting, so it is not in the participant list. Tell the host yourself before the call; the details are in do AI note takers show up in the participant list.
