Context for the record. Anyone reading the minutes later should immediately know when, where, and who ran the meeting.
Who was in the room matters for accountability and quorum. For board meeting minutes, listing absentees alongside those present is standard practice.
The planned topics create the backbone of the document and make it easy to scan the minutes later without reading every line.
A concise summary of what was said — not a verbatim transcript. Focus on key points, alternatives discussed, and the reasoning behind decisions.
Explicit outcomes of each discussion item. Decisions should be stated unambiguously so there is no dispute about what was agreed later.
The most important section for follow-through. Each action item needs a single named owner and a clear deadline — not a team or a vague timeframe.
Lock in the next date while everyone is still in the same (virtual) room. Including it in the minutes removes any ambiguity about when the follow-up is.
