How to Use This Meeting Minutes Template

From choosing a preset to downloading the finished document — four steps.

Step 1

Step 2

Fill in the project meeting details

Enter the project meeting title, date, facilitator, and attendees. In the agenda and discussion sections, cover the project topics: status updates, scope changes, risks, timeline adjustments, and any cross-team dependencies.

Step 3

Capture decisions and action items

Use the Decisions field to record any formal decisions made (scope approved, budget confirmed, deadline adjusted). Add action items with a named owner and due date to track every task coming out of the meeting.

Step 4

Export and share with the project team

Copy the formatted project meeting notes to your clipboard for pasting into Confluence, Notion, Jira, or email — or download as TXT, Markdown, or PDF. Everything is generated locally in your browser.

Meeting Minutes Format Explained

Every effective set of meeting minutes follows the same core structure. Here is what each section of the meeting minutes format should contain and why it matters.

01
Header — date, time, location, facilitator

Context for the record. Anyone reading the minutes later should immediately know when, where, and who ran the meeting.

02
Attendees and absentees

Who was in the room matters for accountability and quorum. For board meeting minutes, listing absentees alongside those present is standard practice.

03
Agenda items

The planned topics create the backbone of the document and make it easy to scan the minutes later without reading every line.

04
Discussion notes

A concise summary of what was said — not a verbatim transcript. Focus on key points, alternatives discussed, and the reasoning behind decisions.

05
Decisions made

Explicit outcomes of each discussion item. Decisions should be stated unambiguously so there is no dispute about what was agreed later.

06
Action items with owner and due date

The most important section for follow-through. Each action item needs a single named owner and a clear deadline — not a team or a vague timeframe.

07
Next meeting

Lock in the next date while everyone is still in the same (virtual) room. Including it in the minutes removes any ambiguity about when the follow-up is.

Board Meeting Minutes Template

Board meeting minutes use a more formal structure than everyday team meeting notes: quorum, formal motions, exact vote counts, and resolutions. Use the Board preset in the generator above to get that structure automatically.

Quorum confirmation

State clearly how many directors were present and that a quorum was met, so anyone reading the minutes later can confirm the vote counted. The Board preset includes this field automatically.

Formal motions

Capture each decision as a motion — who proposed it, who seconded it, and the exact vote count (for, against, abstain). A passed motion becomes a resolution.

Vote count and result

Record the exact number of votes for, against, and abstaining, along with the outcome (passed, failed, or tabled), so there is no ambiguity about what happened.

Resolutions

Each passed motion becomes a resolution. Record the resolution text clearly in the minutes so it can be referenced at future board meetings.

Sprint Retrospective Ideas: Which Retro Format Should You Run?

If the same retro format every sprint has started to feel stale, rotating through a few different sprint retrospective ideas keeps the conversation fresh without losing the structure that makes a retro productive. Record the outcome of whichever format you run using the Retrospective preset above.

Start / Stop / Continue

The team lists what to start doing, what to stop doing, and what to keep doing. The most common retro format because it maps directly onto next-sprint action items. Rough timing: 5 min stage-setting, 20 min silent writing and sharing, 15 min dot-voting, 15 min action items.

4Ls — Liked, Learned, Lacked, Longed For

A broader reflection format that surfaces things Start/Stop/Continue tends to miss, like team morale or knowledge gaps. Works well after a sprint with a big learning curve, such as a new tech stack or a new team member. Rough timing: 5 min check-in, 25 min writing and sharing across all four categories, 15 min grouping and voting, 15 min action items.

Mad / Sad / Glad

Organises feedback by emotional response rather than by category, which can surface frustration or morale issues that a purely process-focused format misses. Best used occasionally, after a rough sprint, rather than every time. Rough timing: 5 min check-in, 20 min writing and sharing, 15 min discussion of the "mad" items specifically, 15 min action items.

Sailboat

A visual metaphor format: the wind (what pushes the team forward), the anchor (what holds it back), rocks (risks ahead), and the island (the goal). Popular for teams that respond well to visual facilitation or are running a retro in person on a whiteboard. Rough timing: 10 min explaining the metaphor and drawing it out, 25 min populating each section, 15 min prioritising the anchors and rocks, 10 min action items.

Whichever format you run, plan the session itself with the retrospective template (also called a retro template), then document what actually came out of it in the Retrospective preset above.

Frequently Asked Questions

A project meeting notes template is a structured format for capturing the key discussion points, decisions, and action items from project status meetings, sprint reviews, or cross-team syncs. Good project meeting notes include the date, attendees, agenda items, a summary of what was discussed for each topic, decisions made, and tasks assigned with owners and due dates.

Project meeting notes should include: the meeting date and attendees; agenda topics (status updates, scope, timeline, risks, budget); discussion notes for each topic; decisions made; action items with a named owner and a clear due date; and the date of the next project meeting. This free template captures all of those sections in a consistent, shareable format.

During the meeting, note the key points under each agenda item rather than transcribing everything said. Focus on facts, decisions, and commitments. After the meeting, add action items with owners and due dates, review for clarity, and share with the team within a few hours while the context is fresh. Use this free template to build that habit consistently.

Yes, completely free. Choose the Team/Project preset, fill in your project meeting details, and export as TXT, Markdown, or PDF — no account, no login, no usage limits.

After completing the template, click Copy to paste the formatted notes into Confluence, Notion, a Jira comment, Slack, or email. You can also download as Markdown to import into your project wiki, or as PDF to attach to a calendar invite or project record.
