Meeting summary template
From stating the purpose to downloading the recap — four steps.
State the purpose
Write one sentence on why the meeting happened — this is the line that lets someone who was not there decide whether the rest of the summary is relevant to them.
List key points and decisions
Add the two or three points that mattered, then the decisions that came out of them. Skip the play-by-play of who said what — a summary reports outcomes, not the discussion that led to them.
Add action items and the next meeting
For each task, add an owner and a due date. Note when and why the group is meeting again, if applicable.
Copy or download the recap
Click Copy to put the summary on your clipboard for an email or Slack message, or download it as a Markdown (.md) file.

Meeting Summary — Q3 Pricing Review
Purpose: Decide whether to raise the Pro plan price before the Q3 renewal cycle starts.
Key Points
- Support tickets citing price as a cancellation reason dropped from 12% to 4% after the last increase.
- Competitor B raised prices twice this year with no visible churn spike in public reviews.
- Finance modeled a 6% price increase against three churn scenarios; even the pessimistic case improves net revenue.
Decisions
- Raise the Pro monthly plan by 6%, effective with the next renewal cycle.
- Grandfather existing annual subscribers at their current price until their next renewal.
- Do not change the Free or Max plan pricing this cycle.
Action Items
| Task | Owner | Due Date |
|---|---|---|
| Draft the price-change email to existing subscribers | Priya Nair | 2026-08-01 |
| Update pricing page and checkout with new Pro price | Tom Wallace | 2026-08-05 |
| Confirm grandfather logic with billing/Paddle integration | Diego Alvarez | 2026-08-03 |
Next Meeting
Reconvene in two weeks to review early renewal data at the new price before it applies broadly.
Meeting summary vs meeting recap
These are the same document with two different names. Both describe a short write-up of purpose, key points, decisions, and action items for people who were not in the meeting. Some teams say "summary", others say "recap" — the structure on this page and in the generator above works for either word.
| Meeting summary | Meeting recap | |
|---|---|---|
| Structure | Purpose, key points, decisions, action items | Purpose, key points, decisions, action items |
| Audience | People who were not in the meeting | People who were not in the meeting |
| Difference | The word your team uses | The word your team uses |
Once a summary is written, the decisions inside it are often worth tracking beyond this one meeting — see the decision log template for a running record of decisions with the alternatives that were rejected along the way.
Why a meeting summary leads with purpose, not discussion
A meeting summary is written for someone who was not in the room. That reader needs to know, in one sentence, why the meeting happened before deciding whether the rest is relevant to them. Reporting the back-and-forth of who said what belongs in meeting notes taken during the call, not in a summary written afterward — see the meeting notes template for that working record, or the meeting minutes template when the meeting needs a formal, approved record instead.
